Auto ImportAbout the Role The organization is seeking a full-time Executive Assistant, Founders Office to provide dedicated support to executive leadership, including Co-Founders and C-suite leaders. This role functions as a strategic operational partner, enabling leadership to operate efficiently, focus on high-impact priorities, and sustain operational cadence across the organization.
The position oversees complex calendars, meetings, communications, travel logistics, and executive coordination, while supporting cross-functional initiatives, strategic business functions, and targeted personal administrative matters that optimize executive productivity.
Key Responsibilities
- Own complex, multi-time-zone calendar management, prioritizing engagements based on urgency, impact, and strategic value.
- Protect executive time by triaging inbound requests, establishing schedule blocks, and proactively resolving scheduling conflicts.
- Support the planning and coordination of leadership meetings, team offsites, and company-wide events.
- Attend meetings as an executive proxy when needed, capturing detailed notes, clarifying decisions, and driving follow-through on key actions.
- Draft, edit, and distribute communications on behalf of executives with clarity, professionalism, and executive presence.
- Act as a primary liaison between executives and internal leaders, external partners, vendors, and key stakeholders.
- Digest, summarize, and escalate critical updates, risks, and insights while safeguarding confidential information.
- Support executive operating cadences, including staff meetings, business reviews, and planning sessions, by managing agendas, notes, action items, and execution.
- Build and continuously optimize templates, systems, and processes to enhance executive efficiency and operational workflows.
- Manage end-to-end travel logistics, including detailed itineraries, bookings, and expense reporting.
- Maintain operational continuity during high-volume periods, executive travel, and organizational shifts.
Required Qualifications
- Based in the United States.
- 5+ years of experience supporting senior executives.
- Professional experience working in a legal environment, such as a law firm.
- Professional background in startups, healthcare, technology, legal, or complex operational environments.
- Exceptional calendar management, prioritization, and organizational capabilities.
- Strong written and verbal communication skills, including experience crafting concise executive-level messaging.
- Demonstrated judgment, discretion, and ability to handle sensitive and confidential material.
- Strong project management skills with a consistent focus on execution and accountability.
- Ability to anticipate operational needs, solve problems independently, and meet deadlines.
- Capacity to operate effectively within dynamic, ambiguous settings while maintaining clarity and composure.
- High emotional intelligence and the ability to manage cross-functional relationships with tact and empathy.
